Access Files from SEA

Secure External Access (SEA) allows you to securely retrieve files from CXone active storage so you can save them to your own server. Note that SEA is not available for use with custom storage - SEA only works with TTL rules. The best practice is to offload files to SEA, then shortly thereafter move the files to your storage. Depending on the number of files, this process should only take a few days. The following are key items for managing files with SEA:

  • Your organization incurs an Active Storage charge while the files are in SEA.
  • Files are automatically removed from the SEA bucket after 30 days. You can, however, delete the files after downloading them onto your external server.
  • You are only allowed one set of SEA credentials per tenant.
  • You must use an FTP client or a script to browse or download files from your SEA bucket. You can use any FTP client, but the instructions below demonstrate the process using S3 Browser, CrossFTP, and a custom script.
  • You can copy files to SEA only once. Be cautious when configuring rules for copying files to SEA. For example, if you copy files to SEA as a test, those copied files cannot be copied again in the future.
  • Files can be moved/copied to SEA only from Active Storage and not from Long-term.
  • A maximum of 100,000 files per day per customer can be copied or moved to SEA. When more than 100,000 files per day have to be copied or moved, a backlog is created and may take more than a day to move.
  • You cannot access your SEA folder if it is empty.

Access Files from SEA Using S3 Browser

  1. Download and install the S3 Browser.
  2. Open the S3 Browser.
  3. In the Add New Account window, type an Account Name you want to associate with the account.
  4. Select Amazon S3 Storage as the Account Type.
  5. Type the Access Key ID and Secret Access Key you generated when you set up SEA in the Admin application into the corresponding fields. If you have not already generated the Access Key ID and Secret Access Key, do so now.
  6. To keep files encrypted during the download, select User Secure Transfer (SSL/TSL).
  7. Click Add new account.
  8. In the main S3 Browser window, click Buckets >  Add External Bucket.
  9. In the Add External Bucket window, enter or paste your assigned path. Include only the path and filename. Any additional information will result in an error and the bucket will not be found. For example, if your File Location is https://s3.amazonaws.com/my-s3-bucket/folder/, type my-s3-bucket/folder/ in the field.
  10. Click Add External bucket.
  11. Browse and download files in the main S3 Browser window as needed.

Access Files from SEA Using CrossFTP

  1. Download and install CrossFTP.
  2. Open CrossFTP and click Sites  >  Site Manager....
  3. In the Site Manager window, select a category to contain the new site by clicking a folder on the left or creating a new one.
  4. Click New Site.
  5. Select S3/HTTPS as the Protocol, which uses the port 443 as default.
  6. Set the Label to the name you want to give this site.
  7. Set the Host to s3.amazonaws.com.
  8. In the Access Key and Secret fields, type the Access Key ID and the Secret Access Key you generated when you set up SEA in Central, respectively. If you have not already generated the Access Key ID and Secret Access Key, do so now.
  9. In the Remote Path field, type the portion of the path that comes after "https://s3.amazonaws.com/". For example, if your File Location is https://s3.amazonaws.com/my-s3-bucket/folder/, type my-s3-bucket/folder/ in the Remote Path field.
  10. Click Apply.
  11. Click Connect.
  12. Browse and download files in the main CrossFTP window as needed.

For CXone Recording call recording files, the files are named in the below formats:

  • For voice: <UTCDateTime(YYYY-MM-DD-HH-MM-SS>_<MasterContact Id or ACDcontactID>_<MediaType>_<SegmentId>.mp4.

  • For screen: <UTCDateTime(YYYY-MM-DD-HH-MM-SS>_<MasterContact Id or ACDcontactID>_<MediaType>_<RecordingId>.mp4.

  • For statement: <UTCDateTime(YYYY-MM-DD-HH-MM-SS>_<MasterContact Id or ACDcontactID>_<MediaType>_<StatementId>.mp4.

For a voice only recording, the recording file is stored as: 2021-10-09-07-49-13_12345678903_VOICE_12f9305g-876-4b3a-098f-5dab64752554.mp4.

Enable Faster Secure External Access

Faster Secure External Access (SEA) is a chargeable licensed feature that enables you to copy or move files to SEA faster than using normal life cycle rules. This feature applies to zero-day SEA copy and move actions.
